Role Summary

Reporting directly to the Manager, Office Administration, and being an integral part of the Administrative Team at LEA, the Administrative Assistant will support corporate and project related initiatives.

Job Description

Duties and Responsibilities

  • Prepare and modify documents including correspondence, reports, drafts, memos and emails
  • Assist in preparation and submission of project documents to clients
  • Assist in filing of paperwork and electronic documents
  • Ensure compliance with office policies and procedures
  • Assist Vice President(s) with calendar management
  • Maintain and update Vice President(s) Outlook calendars
  • Order supplies and develop/maintain relationships with suppliers
  • Assist Head Office departments, including, Business Development, Human Resources and Accounting
  • Assist with preparing and submitting expense reports
  • Provide reception duties, including answering calls, providing support to visitors, process outgoing mail and couriers, setting up meetings, and other functions
  • Open, sort and distribute all incoming mail
  • Assist in office facilities, including building maintenance requests, individual employee requests, etc. 
  • Arrange travel, such as booking car rentals, and making hotel and restaurant reservations
  • College Diploma or equivalent;
  • Prior working experience as an administrative assistant is an asset;
  • Proficiency in MS Office (Word, Outlook, Excel and PowerPoint, in particular);
  • Excellent time management skills and proven ability to multitask;
  • Attention to detail and problem-solving skills;
  • Excellent written and verbal communication skills;
  • Strong organizational skills;
  • Exceptional customer service skills, over the phone and in person;
  • An energetic self-starter who is able to multi-task and enjoy collaborating with a team of technical and support staff;
  • Independent, self-motivated, able to take the initiative to liaise with other department and/or external sources
